• Payment Information: Billing details processed securely through Stripe or Square. We do not store credit card numbers on our servers.
• Usage Data: Browser type, IP address, pages visited, and feature usage patterns to improve our service.
• Photos and Files: Images and documents you upload in connection with inspection reports.

3. How We Use Your Information

• Provide, operate, and maintain the OneClick Reporting platform.
• Generate AI-assisted inspection narratives based on your notes and photos.
• Process payments and manage your subscription.
• Send transactional emails (account confirmations, password resets, invoice notifications).
• Improve our services through aggregated, anonymized usage analytics.

4. Multi-Tenant Data Isolation

OneClick Reporting is a multi-tenant platform. Each company's data (inspections, photos, clients, reports, and user accounts) is logically isolated using company-level access controls. Data belonging to one company is never accessible to another company's users. All database queries are filtered by company identifier to enforce this separation.

5. AI Processing

When you use the AI narrative generation feature, your inspection notes, photo captions, and defect tags are sent to a third-party AI provider to generate professional inspection language. We do not use your inspection data to train AI models. The AI processes your data solely to produce the requested output for your report.

6. Data Storage and Security

• All passwords are hashed using industry-standard algorithms (bcrypt).
• Database connections use prepared statements to prevent SQL injection.
• File uploads are validated for type and size, accepting only image formats (JPG, PNG, WebP).
• CSRF protection is implemented on all form submissions.
• Photos are stored in company-isolated directory structures.

7. Third-Party Services

We use the following third-party services:

• Stripe: Payment processing. Subject to Stripe's Privacy Policy.
• Square: Payment processing. Subject to Square's Privacy Policy.
• OpenAI / AI Providers: AI narrative generation. Data is transmitted securely and not used for model training.
• Email Service Providers: Transactional email delivery for account notifications and invoices.

8. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription, your data is retained for 90 days to allow for reactivation. After that period, inspection data, photos, and reports are permanently deleted. Account information may be retained for legal and accounting purposes as required by law.

9. Your Rights

You have the right to:

• Access and export your inspection data and reports.
• Correct inaccurate personal information.
• Request deletion of your account and associated data.
• Opt out of non-essential communications.
